Privacy Policy

1. Overview

The Paper Fox Collective (“we,” “us,” or “our”) is a marketing studio based in British Columbia, Canada. We are committed to protecting the privacy of anyone who interacts with our website, books our services, or makes a purchase through us.

This policy explains what personal information we collect, why we collect it, how it is used, and what your rights are under Canadian privacy law — including the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).

By submitting a booking inquiry, completing a purchase, or otherwise providing your information to us, you consent to the practices described in this policy.

2. What We Collect

We collect personal information only when it is necessary to provide our services or fulfill a transaction. This may include your name and contact details (email address, phone number), your business name and website where relevant to your inquiry, billing and mailing address for purchases, payment information processed securely through a third-party provider (we do not store card details), details you share in a booking form, contact form, or intake questionnaire, communications between us such as emails and messages, and basic usage data collected automatically through cookies and analytics tools.

We collect only what is reasonably necessary and do not purchase or broker data from outside sources.

3. How We Use Your Information

Information you provide is used to deliver, manage, and improve the services we offer. This includes processing and fulfilling your purchase or service booking, communicating with you about your inquiry, project, or order, sending invoices, receipts, or service-related updates, providing the training, strategy, or deliverables you have engaged us for, improving the quality and relevance of our offerings, and meeting any legal or financial obligations such as tax records.

We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. Purchases

When you purchase a product, digital resource, or service through The Paper Fox Collective, we collect the information necessary to process and fulfill your order. This includes your name, email address, billing address, and payment details.

Payment transactions are processed through a secure, third-party payment processor (such as Stripe or a comparable platform). We do not store your full credit card number or financial credentials on our systems. The payment processor’s own privacy policy governs how your payment data is handled.

Order and transaction records are retained for the period required by Canadian tax and accounting regulations.

5. Bookings and Inquiries

When you submit a booking request, discovery call form, or general inquiry, we collect the information you provide in that form. This typically includes your name, email, business details, and the nature of your request.

This information is used solely to respond to your inquiry, assess whether our services are a fit, and coordinate scheduling or next steps. If we do not move forward with a working relationship, your information will not be used for ongoing marketing without your explicit consent.

If you book a session or engage our services, your intake information becomes part of your client record and is retained for the duration of the working relationship and a reasonable period afterward.

6. Third-Party Services

We use a limited number of trusted third-party platforms to operate our business. These may include payment processors such as Stripe, email marketing and communication tools, scheduling or booking platforms, website hosting and analytics such as Google Analytics, and advertising platforms such as Meta and Google if you have engaged with our paid ads.

These providers are only given the information needed to perform their specific function. We select providers that maintain reasonable privacy and security standards, and each provider’s own privacy policy governs their use of your information.

We do not authorize third parties to use your personal information for their own independent purposes.

7. Cookies and Analytics

Our website may use cookies and similar tracking technologies to understand how visitors interact with our content. This includes data such as pages visited, time spent on site, and general geographic region. This information is aggregated and used to improve our website experience; it is not used to identify you personally without your consent.

You may adjust your browser settings to limit or disable cookies at any time. Doing so may affect the functionality of certain parts of our website.

If we run advertising campaigns through platforms such as Meta or Google, those platforms may use tracking pixels or similar technologies. You can manage your ad preferences directly within those platforms.

8. Data Retention

We retain your personal information only for as long as it is necessary to fulfill the purposes outlined in this policy, or as required by applicable Canadian law.

Client records related to active projects or service agreements are kept for the duration of the engagement and a reasonable period afterward. Financial and transactional records are kept in accordance with Canada Revenue Agency requirements. Inquiry records where no engagement was entered into are retained for a limited period and then deleted.

9. Your Rights

Under PIPEDA and British Columbia’s PIPA, you have the right to know what personal information we hold about you, request access to that information, request that inaccurate information be corrected, withdraw your consent for specific uses of your information where applicable, and request that your information be deleted, subject to any legal obligations we have to retain it.

To exercise any of these rights, please contact us directly. We will respond within a reasonable timeframe, and in any event within 30 days of receiving a written request.

10. Children’s Privacy

Our website and services are not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has submitted information to us, please contact us and we will promptly remove it.
